This Cancellation and Refunds Policy outlines the terms and conditions for cancelling bookings and requesting refunds for VibeVerse services. Please read this policy carefully before making any bookings.

2. Event Booking Cancellations

Important Cancellation Window

Cancellations are allowed only one week (7 days) prior to the date of the event. No refunds are allowed after this window.

Cancellation Timeline:

  • More than 7 days before event: Full refund available (minus processing fees)
  • 7 days or less before event: No refunds or cancellations allowed
  • Day of event: No refunds or cancellations under any circumstances

3. How to Cancel Your Booking

To cancel your booking within the allowed timeframe:

  1. Log into your VibeVerse account
  2. Navigate to "My Bookings" or "Dashboard"
  3. Find the event you wish to cancel
  4. Click "Cancel Booking" and follow the prompts
  5. You will receive a confirmation email once the cancellation is processed

4. Refund Processing

Eligible Refunds

Refunds will be processed for cancellations made more than 7 days before the event date:

  • Refund Amount: Full booking amount minus applicable processing fees (up to 3% of transaction value)
  • Processing Time: 5-10 business days from cancellation approval
  • Refund Method: Original payment method used for booking

Processing Fees

A processing fee may be deducted from refunds to cover transaction and administrative costs:

  • Credit/Debit Card payments: 2-3% processing fee
  • UPI/Digital Wallet payments: 1-2% processing fee
  • Net Banking: 1-2% processing fee

5. Event Cancellations by VibeVerse

Events Cancelled by Us

If VibeVerse cancels an event due to unforeseen circumstances:

  • Full Refund: 100% refund with no processing fees
  • Processing Time: 3-5 business days
  • Notification: Immediate notification via email and SMS
  • Alternative Options: Credit towards future events or alternative event recommendations

Force Majeure Events

In case of events cancelled due to:

  • Natural disasters
  • Government restrictions or lockdowns
  • Extreme weather conditions
  • Other circumstances beyond our control

Participants will receive full refunds or credits for future events, as per their preference.

6. Non-Refundable Services

The following are generally non-refundable:

  • Digital products and services delivered immediately
  • Booking or membership fees
  • Services already consumed or utilized
  • Cancellations made within 7 days of event date
  • No-shows without prior cancellation

7. Modification Policy

Booking Modifications

Subject to availability, you may modify your booking:

  • Date Changes: Allowed up to 7 days before original event date
  • Participant Changes: Allowed up to 3 days before event date
  • Modification Fees: May apply based on price differences and administrative costs

8. Special Circumstances

Medical Emergencies

In case of genuine medical emergencies, we may consider refunds on a case-by-case basis:

  • Valid medical certificate required
  • Documentation must be submitted within 48 hours of the event
  • Partial refunds may be considered after deducting incurred costs

Technical Issues

If technical problems on our platform prevent you from accessing paid services:

  • Full refund or service credit will be provided
  • Alternative access methods will be arranged where possible

9. Refund Status and Tracking

You can track your refund status:

  • Check your VibeVerse account dashboard
  • Email confirmation will be sent when refund is initiated
  • Contact support for status updates
  • Bank/payment provider may take additional time for credit to reflect

10. Dispute Resolution

If you disagree with a cancellation or refund decision:

  1. Contact our customer support team first
  2. Provide all relevant documentation and details
  3. We will review your case within 5-7 business days
  4. Final decisions will be communicated via email
